How BMH processes website, form, talent and VOLYA AI data.

Working privacy notice: This version is tailored to the current BMH website architecture. It should be reviewed by a qualified German data-protection professional before major commercial scale, sensitive uploads or a new backend/CMS is activated.

1. Controller

2. Hosting, domain and server logs

The site is hosted on Netlify. The domain and corporate mailboxes are managed through united-domains. Hosting providers process technical data such as IP address, timestamp, requested resource, user agent, referrer, security events and error logs to deliver and protect the service. Legal bases may include performance of requested pre-contractual steps, legitimate interests in secure operation and applicable legal obligations.

3. Local preferences

The site may use browser storage for language, theme, motion preference, premium age-gate confirmation and a short-lived VOLYA session. These settings stay in the visitor's browser unless the user deliberately submits a handoff. No advertising cookies or third-party analytics are included in this version.

4. Contact, business and talent forms

Netlify Forms processes the information deliberately entered by the visitor. Depending on the route, this may include name, email, organization, professional background, objectives, portfolio links, small optional files, consent records and an AI-generated summary. BMH uses the data to review and respond to the request, document consent, prevent abuse and manage a possible pre-contractual relationship.

Do not upload identity documents, bank information, health data, home addresses, passwords, confidential source code or trade secrets through public forms. Initial uploads are limited to small professional profile materials. Showreels should normally be shared by link.

5. VOLYA AI

VOLYA sends the current conversation and route information to the OpenAI API through a server-side Netlify Function. The API key is never exposed to the browser. Requests are configured with store: false for application-state handling where supported. OpenAI may still process technical and content data under its applicable service, security and abuse-monitoring terms.

VOLYA is used for answers, structured discovery, summaries and preliminary concepts. It does not make binding decisions. A conversation is added to the BMH lead workflow only when the visitor deliberately submits the handoff form. Visitors can choose whether to send a summary and transcript.

6. Talent and minor applicants

Talent applications may include professional name, email, age route, region, languages, category, experience, skills, availability, portfolio, showreel and social links. Under-18 applications must be submitted by a parent or legal guardian. Premium 18+ applications require adult confirmation and remain separated from child, family and mainstream routes.

BMH does not use VOLYA to score attractiveness or infer race, ethnicity, religion, disability, health, sexual orientation, political views or personality from appearance. Human review is required for every consequential talent decision.

7. External links

Telegram and future social links lead to external services. Their operators process data under their own policies once a visitor follows the link. At present, BMH does not embed social feeds, maps, videos or tracking pixels directly into the site.

8. Retention

  • General and business requests: normally retained for the period needed to respond and manage a possible project, then deleted according to legal and operational requirements.
  • Inactive or rejected talent applications: target deletion after six months.
  • Talent pool: up to 24 months only with separate, withdrawable consent.
  • Submitted VOLYA transcript: target deletion after 90 days unless it becomes necessary for an active request or legal documentation; the structured lead summary may follow the applicable request retention.
  • Server and security logs: according to provider settings and security necessity.

These periods are operational targets and must be adjusted where a legal duty, claim or active contract requires different retention.

9. Recipients and international processing

Data may be processed by Netlify, united-domains, OpenAI and authorized service providers necessary for hosting, email, security and AI responses. Depending on provider architecture, processing may occur outside the EEA under the provider's applicable safeguards and contracts. Future services such as a database, CMS, video platform or email automation will require an updated notice before activation.

10. Legal bases

Depending on the interaction, processing may rely on consent, steps requested before a contract, performance of a contract, legal obligations and legitimate interests in secure, efficient communication. Consent may be withdrawn for the future without affecting prior lawful processing.

11. Rights

Subject to the legal conditions, individuals may request access, correction, deletion, restriction, portability, withdrawal of consent and objection. Requests can be sent to privacy@bodnarchukmediaholding.com. Identity may need to be verified proportionately before data is disclosed or deleted.

Individuals may also complain to a competent data-protection supervisory authority. For a business based in Bavaria, the competent authority depends on the exact activity and legal classification and should be confirmed professionally.

12. Automated decisions

BMH does not intend to make decisions with legal or similarly significant effects solely through VOLYA. “Ready for human review” is a workflow signal, not approval or rejection.

13. Changes

This notice will be updated when BMH activates new services, analytics, a CMS, a custom database, manager accounts, video hosting, automated email or additional social integrations.
